How we look after your information
Last updated: October 2026
This policy explains what personal information Twentyone Events collects when you visit our website, send us an enquiry or book with us, why we collect it, and the choices you have. We keep it short and in plain English.
Who we are
Twentyone Events is the trading name of Twentyone Events Ltd, a company registered in England and Wales (company number 11531815), whose registered office is at 33 Conduit Lane, Bridgnorth, WV16 5BX. We are the "controller" of the personal information described in this policy, which means we decide how and why it is used.
If you have any questions about this policy or your information, email us at bookings@twentyoneevents.com.
What we collect
When you send an enquiry, we collect the details you give us in the form: your names, email address, phone number, event or wedding date, venue, budget, guest numbers, company name (for corporate enquiries), how you heard about us and anything you tell us about your event.
When you book with us, we also collect what we need to deliver your event, such as billing details, the event schedule, venue contacts, song requests and any access or production information.
When you email or message us, we keep a record of that correspondence.
When you browse our website, our website platform collects basic technical information such as your device, browser and the pages you visit. See the cookies section below.
We don't ask for, and you don't need to give us, any sensitive information (such as health or religious details). If you choose to share something like this, for example a guest's accessibility needs, we only use it to plan your event.
How we use it
We use your information to:
- reply to your enquiry, check availability and send you a proposal;
- manage your booking, plan your event and coordinate with your venue, planner and our performers;
- send invoices, take payments and keep financial records;
- keep our website secure and working properly, including preventing spam form submissions.
Under UK data protection law we need a lawful reason to use your information. We rely on:
- taking steps at your request before a contract, and performing our contract with you: answering enquiries, preparing proposals and delivering your booking;
- legal obligation: keeping accounting and tax records;
- legitimate interests: running and improving our business, keeping a record of enquiries, and protecting our website. We only do this where it doesn't override your rights.
We don't sell your information, and we won't add you to a marketing mailing list without asking you first.
Who we share it with
We only share your information where we need to, and with people who must keep it secure:
- Our performers and crew: the musicians, technicians and event managers working at your event receive the details they need, such as the date, venue, timings and contact on the day.
- Your venue and planner, where we need to coordinate with them.
- Service providers who help us run the business:
- Squarespace, which hosts our website and processes our enquiry forms;
- Google, which provides reCAPTCHA spam protection on our forms;
- Zapier, which passes enquiry details from our website into our booking system;
- monday.com, where we manage enquiries and bookings;
- our email provider;
- QuickBooks, which we use for invoicing and accounts.
- Our accountants and professional advisers, and authorities such as HMRC where the law requires it.
International transfers
Some of our service providers are based outside the UK, mainly in the United States. Where your information is transferred abroad, we make sure it is protected by approved safeguards, such as the UK Extension to the EU–US Data Privacy Framework or the UK's International Data Transfer Agreement or Addendum.
How long we keep it
- Enquiries that don't go ahead: we keep a record in our booking system so we can recognise returning couples and clients, and understand where our enquiries come from. We keep these for up to 3 years from your last contact with us, then delete them. You can ask us to delete yours sooner at any time.
- Bookings: for 6 years after your event, as required for accounting and tax purposes.
- General correspondence: for as long as needed to deal with it, and no longer than 3 years unless it relates to a booking.
Your rights
You have the right to:
- ask for a copy of the information we hold about you;
- ask us to correct anything that's wrong or incomplete;
- ask us to delete your information;
- object to, or ask us to restrict, how we use it;
- ask us to transfer information you gave us to another organisation.
Some of these rights have limits. For example, we can't delete records we're legally required to keep. To use any of your rights, email bookings@twentyoneevents.com. We'll respond within one month and there's normally no charge.
Cookies
Our website uses cookies, small files stored on your device. Some are essential for the site to work and keep it secure, and these are set by our website platform, Squarespace. If we use analytics cookies to understand how visitors use the site, we'll only set them with your consent, which you can give or withdraw using the cookie banner. You can also block or delete cookies in your browser settings.
Contact & complaints
If you have a question or concern about how we handle your information, please contact us first at bookings@twentyoneevents.com and we'll do our best to put it right.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.
